Job Description
The Phoebe A. Hearst Museum of Anthropology, accredited by the American Association of Museums, is a research unit on the University of California, Berkeley campus that administers public programs, research, and instructional use of a collection of approximately 3.8 million archaeological and ethnographic objects. The Collections division is comprised of the conservation, collections management and registration departments. The work of the Media Collections Manager is a process of systematic and planned care for the Museum’s extensive media collections and associated metadata and provision for physical access to the collections. The Media Collections Manager must work cooperatively with all other divisions in the Museum and closely with other members of the collections division staff to advance common goals and objectives.
The Hearst Museum holds one of the country’s largest collections of ethnographic photographs, sound and motion pictures, principally from Native California and western North America. The Media Collections Manager will be responsible for responding to all requests for access, reproduction and publication of these collections. Knowledge of copyright and intellectual property rights issues is critical, as is knowledge of the appropriate and specialized physical care and storage of media collections. Familiarity with current standards in digitization and subsequent documentation and archiving is necessary, but can be learned on the job.
Responsibilities

Access to Media Collections
- Schedule and facilitate access to media collections for Native American groups, researchers, and UC Berkeley faculty and students.
- Ensure that results of visits are integrated into Museum databases.
- Coordinate handling and movement of objects for study and exhibition consulting as required with the registrar, conservator and other relevant staff.
- Assist researchers based upon a thorough knowledge of media and digital collections.

Permissions and Duplication Services
- Respond to requests for reproduction and/or use of media collections.
- Determine if copyright applies and if use of copies is appropriate and in keeping with the Museum’s mission and guidelines.
- Determine related fees based on Museum policies and guidelines.
- Maintain records and statistics associated with permission and reproduction requests.

Collections Management
- Organize and physically protect objects in proper storage environments and housing.
- Implement access policy and procedures in conjunction with the collections management team.
- Train staff, students, volunteers, and researchers in the proper handling of collections.
- Prepare appropriate study areas where objects can be safely arrayed and researchers can be monitored.
- Coordinate with other Museum staff the use of limited space.
- Utilize manual and computerized record keeping systems for collections inventory.
- Assist in plan for relocation of collections.
- Assist in plan for new collection storage space

Digital Duplication — during the past several years many of the Museum’s media collections have been digitized, greatly improving our ability to provide access to these collections. The Media Collections Manager will:
- Digitize media collections internally through scanning and photography, and utilize on-campus resources and outside labs as needed and as funding is available.
- Produce and maintain all records related to duplication and reproduction activities.

Supervision/ Training
- Hire and train student workers and recruit interns and volunteers to assist with the multitude of tasks involved in collections management of media collections.
- Supervise their work to ensure quality control.
- As skills increase, allow for increasing levels of responsibility.
- Evaluate performance and provide appropriate feedback including constructive criticism.

Requirements & Qualifications
- Bachelor’s degree in Anthropology, Digital Asset Management, or Library/Information Science required, advanced degree in Museum Studies, Library/Information Science, or Digital Asset Management highly preferred.
- Knowledge of rights and reproductions regulations and issues, including Creative Commons licensing.
- Knowledge of and practical experience in current best practices in digital asset capture, archiving and retrieval.
- Knowledge of museum professional ethics;
- Knowledge of proper procedures for working with museum objects and collections documentation.
- Application of general knowledge of the Museum’s database system to assist Museum Information Systems efforts to incorporate relevant Media Collection data into Museum database.
- Proficiency in database management systems such as MS Access, FileMaker, and TMS (The Museum system – the Museum’s primary database).
- Familiarity with content management systems such as Extensis Portfolio.
- Proficiency in image editing and creation programs such as those in the Adobe Creative Suite (Photoshop, Illustrator, InDesign, etc.).
- Familiarity with both Windows and Mac OS is a plus.
- Ability to use standard repertoire of office programs (MS Word, MS Excel, etc.)
- Office skills to handle phone, email, filing, and document duplication.
- Ability to interpret and communicate data to various internal and external audiences.
- Ability to coordinate multiple projects and deadlines simultaneously.
